Event radios and communication network for vivid

eDestination NSW is seeking an request for tender in the form of an itemised quotation for the provision of event radios and integrated talkback system; and communications, CCTV & networking services for Vivid Sydney 2023, 2024 and 2025 with an option to renew for 2026 and 2027. Vivid Sydney 2023 will take place from 26 May to 17 June. The RFT is in two parts.

Vivid Sydney—the event

Vivid Sydney, is the largest festival of light, music and ideas in the southern hemisphere. It is owned, managed and produced by Destination NSW, the NSW Government’s tourism and major events agency.

The light show involves light sculptures and large-scale 3D architectural projections onto iconic buildings and landmarks including the Sydney Harbour Bridge.

Vivid Sydney has been instrumental in driving visitation to Sydney. In 2022, it attracted 2.58 million attendees (the highest attendance so far).

Vivid Sydney features an outdoor gallery of lighting sculptures and 3D projections, a cutting-edge contemporary music program, and some of the world’s most important creative industry workshops and forums. Vivid Sydney aims to deliver innovative live entertainment and creative inspiration on a grand scale.

PART A — event radios and integrated talkback system

Provision of a turnkey radio network and base panels consisting of:

• Supply of portable radio fleet with associated accessories
• Supply and install clearcom or similar integrated talkback system
• Radio and communications panel programming
• Channel recording
• Radio distribution
• VHF radio integration
• Install, maintain and removal

PART B — communications, CCTV & networking services

Provision of turnkey communications, CCTV & networking solution across the Vivid Sydney footprint consisting of:

• Internet services
• Fibre and 4/5G networking
• Digital message board system, digital kiosk & CCTV data solution
• CCTV services
• Sound pressure level monitoring
• Public address and paging system
• Video streaming service
• Computer rental

Event control group and event radios

The Event Command, Control, Coordination and Communication (C4) structure includes an Event Control Group that integrates the NSW Government Coordination Centre (GCC) alongside NSW Police Operations Centre and Event Control Centre (ECC).

Destination NSW is requiring a robust and stable radio communications network for the C4 structure that uses portable and fixed infrastructure to give broad event radio coverage across a defined location.
